This Privacy Policy explains how KitchenPro (“we,” “us,” or “our”) collects, uses, and protects information when you use our recipe and food cost management software and related websites (the “Service”). By using the Service, you agree to this policy.

1. Information We Collect

• Account information you provide: name, email, restaurant/organization name, password (stored hashed), and billing contact details.
• Recipe and ingredient data you enter into the Service: recipes, ingredients, costs, vendor information, invoice photos, and prep instructions.
• Photos and uploaded files: recipe photos, handwritten recipe card scans, menu PDFs, invoice images, and ingredient spreadsheets.
• Payment information processed by our payment provider, Stripe. We do not store full card numbers on our servers.
• Usage data: pages viewed, features used, IP address, browser type, and device information, used to operate and improve the Service.
• Communications: messages you send to support and transactional emails sent to you by the Service.

2. How We Use Information

• To provide, maintain, and improve the Service.
• To authenticate users, secure accounts, and prevent fraud or abuse.
• To process payments and manage subscriptions via Stripe.
• To provide AI-assisted features — such as extracting recipes from photos and matching ingredients from invoices — by sending relevant content to our AI providers for processing.
• To send transactional emails (password resets, receipts, billing notices) and, with your consent, product updates.
• To comply with legal obligations and enforce our Terms of Service.

3. Sharing of Information

We do not sell personal information. We share data only with service providers acting on our behalf to run the Service, including:

• Supabase — database, authentication, and file storage.
• Netlify — website hosting and content delivery.
• Stripe — payment processing and subscription billing.
• AI providers — to power recipe extraction, invoice scanning, and AI-assisted recipe building. Content sent to these providers is used only to generate responses for you and is not used for model training where opt-outs are available.

We may disclose information if required by law, subpoena, or to protect the rights, property, or safety of KitchenPro, our users, or the public.

4. Data Retention

We retain account, recipe, and cost data for as long as your account is active. If you cancel, we retain data for up to 90 days to allow restoration, after which it is deleted or anonymized, except where longer retention is required by law (for example, tax records).

5. Security

We use industry-standard practices including TLS encryption in transit, encrypted storage at rest, password hashing, per-user data isolation via row-level security, and role-based access controls. No system is perfectly secure; you use the Service at your own risk.

6. Your Rights

Depending on your location, you may have rights to access, correct, delete, or export your personal information, and to object to or restrict certain processing. To exercise these rights, email us at hello@kitchenpro.restaurant.

7. Cookies

We use cookies and similar technologies only as needed to keep you signed in and operate the Service. We do not use third-party advertising cookies.

8. Children

The Service is intended for business users 18 and older. We do not knowingly collect personal information from children under 13.

9. Recipe and Business Data You Upload

When you add recipes, ingredient costs, vendor prices, or invoices to the Service, that data remains yours. We process it on your behalf solely to deliver the Service, and we do not use it to benefit other customers. Recipes marked private are only visible to your account.

10. Changes

We may update this policy. Material changes will be posted on this page with a new effective date and, where appropriate, communicated by email.
